JOB SUMMARY

Provide administrative support for the service department.

MINIMUM QUALIFICATIONS
  • 3+ years of administrative support experience.

PREFERRED QUALIFICATIONS
  • Experience in the construction industry is preferred.
KEY SKILLS & COMPETENCIES
  • Must have strong organizational skills, attention to detail, and writing and grammatical skills.

  • Must have the ability to prioritize and complete multiple projects in a timely manner.

  • Must have a high level of interpersonal skills and be able to communicate effectively with a wide variety of personalities.

  • Must have the ability to handle a high paced environment with a positive attitude and contribute to a team-oriented environment.
  • Intermediate knowledge of office procedures and software (Microsoft Office Suite, etc.).

JOB RESPONSIBILITIES

  • Provide administrative support for the service department.
  • Receive and route incoming customer calls.
  • Schedule service department manpower and dispatch workorders to electricians.
  • Maintain fleet records and licenses.
  • Process billings, weekly timecards, invoice tracking and payments.
  • Monitor and track fuel usage.
  • Coordinate permitting and inspections.
  • Assist with collections.
  • Maintain customer master data and respond to customer inquiries.
  • Assist with job set-up and updates in payroll and accounting systems.
  • Compose and/or edit letters, memos, reports, procedures, etc., as required.
  • Process day-to-day administrative items (e.g. expense reports, supply requisitions, personnel transaction forms, operating budgets, etc.).
  • Perform other tasks and special projects as assigned.
